Terms and Conditions

i) Registration is required for all conference attendees and exhibitors, whether participating in-person or virtual. A unique link will be provided for each participant for the virtual participation.

ii) Registration and other fees are non-refundable and non-transferable unless expressly stated otherwise.

iii) Any discounts or promotional codes must be applied at the time of registration.

i) Virtual participants must use the official conference platform for access.

ii) Technical support will be provided during conference hours to assist attendees with platform-related concerns; however, the organizers do not guarantee resolution of all technical issues, particularly those related to personal device failures or external service disruptions.

iii) Virtual attendees are responsible for ensuring their internet connectivity and device functionality. While technical support may be available, conference organizers do not guarantee resolution of individual technical issues.

iv) Organizers are not liable for disruptions caused by platform outages or personal device failures.

i) Payments are in Kenya Shillings or USD as provided for in the registration form.

i) Once your payment is successfully processed, you will receive a confirmation email with your receipt. Event details will follow in a subsequent mail. If you do not receive a confirmation within 48 hours (excluding weekends), please contact us at sepdconference@kalro.org; sepdconference@gmail.com

i) Cancellations made more than 30 days before the event will be eligible for a refund, less a 5% administrative fee.

ii) Cancellations made within less than 14 days of the event will not be eligible for a refund.

i) In the unlikely event of the conference being cancelled, you will receive a full refund of the registration fee.

ii) In the unlikely event of the conference being postponed, your registration will automatically be transferred to the new date. If you are unable to attend the rescheduled event, you may request a refund within one month (30 days) of the announcement.

i) No refunds will be provided for attendees who fail to attend the event without prior notice.

i) KALRO will collect personal information, including your name, email address, and payment details, solely for the purpose of processing your registration and payment.

ii) Personal information collected during registration will be handled in accordance with KALRO Data Privacy Policy and Data Protection Act, 2019 (Kenya)

i) Your data will be securely stored and processed in compliance with applicable data protection laws

i) By participating in the 1st SEPD Conference & Exhibition, attendees consent to being recorded, photographed, or featured in promotional and publicity materials.

ii) Virtual participation data (such as chat messages) may be stored for event analytics and improvement.

i) The 1st SEPD conference organizers are not responsible for payment failures caused by technical issues, including internet outages or third-party payment processor errors.

i) The 1st SEPD Conference & Exhibition organizers reserve the right to modify details pertaining to the conference, including presentation dates and time, venues, and speakers, without prior notice.

ii) The Conference & Exhibition organizers reserve the right to modify or cancel the event due to unforeseen circumstances (natural disasters, technical failures, etc.), without prior notice.

iii) In case of event cancellation, liability is limited to refunding registration fees where applicable, in line with the above clause on registration fee refund.

iv) Organizers are not responsible for losses incurred due to changes in the event schedule.

i) All presentations and materials remain the intellectual property of their respective authors.

ii) No unauthorized distribution, reproduction, or modification of conference content is allowed.

iii) Speakers may provide materials for sharing at their discretion.

i) The conference strives to be inclusive, offering accessibility features such as captions and assistive technologies.

ii) Attendees requiring special access should notify the organizers in advance.

i) Attendees must adhere to applicable laws and regulations while participating in the conference & exhibition.

ii) Any disputes arising from these Terms & Conditions shall be first addressed and resolved through the KALRO Legal Office. If unresolved, such disputes may then be referred to the appropriate courts under the jurisdiction of the Republic of Kenya, in accordance with applicable laws.

iii) Organizers reserve the right to deny participation to individuals who violate these terms.
